Information we collect

Via the form: name, postcode, phone, email (if given), what you’re interested in and your message. Plus whatever you choose to email over, like pictures of the rooms. During a survey: measurements, notes and photos of the property.

How we use it

• To reply, arrange a survey and prepare a proposal (steps before a contract)
• To install, commission and maintain your system and register warranties (contract)
• To make a Boiler Upgrade Scheme claim on your behalf, when you want one
• To keep accounting and refrigerant records (legal obligation)
• To handle later queries and complaints (legitimate interests)

No unrelated marketing, and we never sell your data.

Who we share it with

Only those who help deliver your job or run the business: the engineers fitting your system; Formspree, which processes the website form; our hosting, email and bookkeeping services; manufacturers, when we register a warranty; and Ofgem and the certification body for grant claims.

How long we keep it

Unsuccessful enquiries are deleted after 12 months. Job and maintenance records are held for six years, or for longer if warranty, grant or refrigerant regulations demand it.

Your rights

You can ask for access to your data, correction, deletion, restriction, objection or a portable copy. Email hello@airtoairheatpumpsbristol.co.uk. You can also complain to the Information Commissioner’s Office.
